Jimmy Hickman Excavating is looking for an Office Administrator and AP / AR Clerk to work Full- Time at their location in Kissimmee.
Job Description
• Provide front desk reception coverage including handling phone calls, routing them to appropriate staff, taking and distributing messages, and receiving/greeting all visitors in a professional and warm manner
• Collect and distribute all incoming mail and courier items, process all outgoing mail
• Assist in General Office Administration
• Partner with Controller to process job postings and applicants, administer new hire pre-employment and orientation activities and assist with timekeeping procedures
• Accounts Payable Data Entry – Vendor PO and statement reconciliation
• Manage and file all paper invoices, tickets, permits, contracts, receipts, etc.
• Create and Maintain computer records for job-specific data, and Vendor specific data
• Assist field staff with addressing time, pay, benefits, and other questions/concerns
• Maintain uniform inventory for field staff
• Assist in arranging for and receiving services related to office equipment, telecommunication needs, and building maintenance services
• Process and maintain Notice to Owner information and follow through on Lien Release procedures
• Maintain scheduling for day laborers as needed
• Scan and maintain Daily Reports, Weekly Safety Meetings, and Safety Binders
• Maintain Sunshine 811 Locates
Required Skills/Abilities
• Knowledge and ability to use various computer programs and applications, including Microsoft Office (specifically Word and Excel), and Google email systems
• Strong organizational skills, and attention to detail
• Strong verbal and written communication skills
• Manage multiple priorities and meet deadlines in an office environment
• Ability to establish and maintain effective working relationships with Superintendents, other Employees, Vendors, and Contractors
• Apply to deliver strong customer service
• Always represent the organization in a positive and professional manner
Preferred
• Bilingual (English/Spanish)
• Excellent writing skills preferred
• 3+ years working in an office environment
• Experience with QuickBooks or comparable program
Job Type: Full-time in Office
Pay: $18.00 - $22.00 per hour
